Agirc-Arcco streamlines the editing of its policyholders’ documents thanks to KSL Suite

The Agirc-Arrco supplementary pension scheme manages more than 56 million insured accounts. With over 23 million documents issued each year, Agirc-Arcco implements a synergy strategy between innovative digital tools and local services, with the aim of enabling each insured person to access information on their rights and thus play an active role in their retirement. It is in this context that the acquisition of the KSL Suite solution took place.
Accelerate and streamline customer communications management
The KSL solution, by producing and managing communications with its policyholders, has been one of the links in this strategy since 2004: KSL production servers automatically generate documents every day, in bulk and in transactional form, and distribute them to policyholders.
The platform, initially dedicated to mail, has gradually expanded to adopt digital channels and in particular the sending of PDF documents by email.
Agirc-Arcco also uses the KSL solution to interactively personalize documents before they are sent. They are automatically generated with the correct graphic charter, with predefined content, then personalized by the 3,000 managers before distribution.
This interactive customization is assisted: a manager edits the letters from their web interface. They can add, modify, or delete certain paragraphs. They can also submit the document to their manager for approval; the manager then connects to the KSL application, accesses the documents awaiting approval, and accepts the document or specifies the corrections to be made. At the end of the process, the manager triggers the document to be sent by email or for printing and postal delivery.
The production servers rely on a library of paragraphs and more than 600 document templates, created and regularly updated by four designers. A total of fifteen people regularly work around the single production base to specify, design, develop, and administer all communications sent to policyholders.
Reliable support
More specifically, the KSL solution centralizes Agirc-Arcco's document templates. These templates are built from shared KSL components such as style sheets, images, management rules, and paragraphs. This document sharing allows for optimized maintenance costs and greater reliability of the information used.
This publishing communication platform was set up with the help of Naelan's technical teams, who have been supporting Agirc-Arcco for over 15 years as business needs, projects, improvements to the KSL software and technological changes evolve.

Time saving & scalability
For Agirc-Arcco, the benefits are multiple.
The content of the documents is well controlled: the documents are based on centralized paragraphs whose evolution is treated precisely and the content studied for maximum readability.
The Agirc-Arcco teams are autonomous: they quickly create and put online new documents corresponding to regulatory changes in the pension schemes managed.
Document creation is carried out reliably and quickly and the number of models to be managed is limited thanks to the reuse of components and shared management rules.
The formatting of the documents is consistent and always in compliance with the Agirc-Arcco graphic charter.
Document templates are created independent of the output format, allowing teams to focus on content regardless of the delivery channel.
" In 2004, the KSL solution went into production within the Mornay Group, a player in Health-Retirement-Provident Insurance, to edit their customer communications. In 2010, the Audiens, Novalis Taibout and Mornay Groups selected KSL for their joint Document Factory project aimed at defining a single document production solution for their retirement management document production. Concretely, this project aimed to replace the 10 solutions in production with a single solution. In 2013, the Document Factory was entrusted to Agirc-Arcco, which confirmed KSL as the single document generation solution," explains Pascal Bonneton, CEO of Naelan.
