CGI FINANCE continues to optimize its document management with KSL Suite

A financial institution founded in 1951, the number one independent auto financier, number one in nautical financing in Europe, a major player in credit consolidation for professionals and debt recovery, CGI FINANCE has acquired wide recognition through its field expertise (present in more than 2,000 dealerships) and its sense of innovation. For 70 years, 1,000 employees across 24 sales agencies in France and abroad have managed more than 430,000 clients.

CGI FINANCE, through a dynamic approach in which its employees are invested, aims to develop its growth and customer satisfaction. It was therefore natural for it to turn to KSL Suite in 2008 to offer flexibility, modularity, and quality to its documents, the main means of communication with its customers.

Streamline and centralize customer communication tools with KSL Suite

Document management at CGI FINANCE previously relied on the use of several publishing tools, in a context of decentralized sites and heterogeneous services. CGI FINANCE therefore completely redesigned its organization when it acquired KSL Suite in 2008. This overhaul resulted in the consolidation of communication processes, particularly desktop publishing, around a single, centralized, and collaborative solution. Selected for its functional richness, KSL Suite met CGI FINANCE's expectations for its documents, from the simplest to the most elaborate, whether they were letters or financing offers.

The expected objective was to gain in simplicity and performance on processes with substantial volumes. The documents produced by KSL Suite and sent by email or post were, therefore, of impeccable formatting and quality.

The project originated with a true pooling of skills at CGI FINANCE. An IT team is responsible for the development of document templates. A second team is responsible for flow management and portability between data and applications. The project owner, for its part, is implementing a cross-functional organization, a true bridge between business and IT departments to ensure the proper scalability of document templates. Today, CGI FINANCE has a set of 800 templates (compared to 2,500 originally), shared and easily scalable, allowing it to manage and maintain truly professional letters or credit contracts. 600 KSL Suite users are thus gaining in productivity.

Documents are binding on the company and convey its image. Among the benefits observed for CGI FINANCE, KSL Suite produces consistent documents that adhere to the company's graphic charter, a guarantee of quality regardless of their media. The documents are then personalized and validated by the business units according to their authorizations, before being distributed. Contract documents, which have become marketing vehicles, thus respond to a sophisticated customer loyalty strategy.

In addition to optimized document processing thanks to the composition flexibility and processing power of KSL Suite, CGI FINANCE leverages the solution's post-composition functions to optimize multi-channel distribution and achieves the rationalization of a third of its mail.

CGI FINANCE does not want to stop there and is working on extending the scope of intervention of the KSL Suite solution, such as the implementation of more advanced functionalities for interactive customization of PDF documents as authorized by KSL Suite, in order to meet the challenges of flexibility and modularity in the sector.
